Facility Use Request Process (MVCC Employees)

Please understand that the individual completing these forms, or whose name appears on the forms, is responsible for coordinating all event logistics. This includes, but is not limited to, ensuring that you have reserved your facility, completing all necessary forms below, room setups, working with all involved departments, and being the on-site point of contact on day of event.

1. Requesting a room.

As a courtesy, and in order to secure proper staff coverage and room availability, requests for facilities that hold fewer than 25 people should be submitted 48 hours prior to the requested date. Requests for facilities that hold more than 25 people should be submitted two weeks prior to requested date. Please note that this form is only a request and is not a confirmation of your room reservation. You will receive a confirmation from the appropriate campus representative once your room has been reserved.

2. Requesting media services or on-site technical assistance.

As a courtesy, and in order to secure proper IT Help Desk staff coverage and equipment (TV, iPad, laptop, etc.) availability, media booking requests require 24 hours advanced notice. Excellus BCBS Conference Room (Wilcox Hall, Room 225) and Alumni College Center Room 116 are considered walk-in ready, but should you require an on-site IT Help Desk technician, please note that on the form below.

3. Requesting a portable sound system.

As a courtesy, and in order to secure proper part-time Events and Guest Services staff coverage and equipment availability, sound system requests require two (2) week advanced notice. Please note that this form is only a request and is not a confirmation of your sound system request. You will receive a confirmation from the appropriate campus representative once your sound system has been reserved.

4. Requesting catering.

As a courtesy, and dependent on locations, all facility requests require 48 hours advanced notice. Please contact American Dining Creations at 315-792-5419.

5. Request Public Safety presence, if needed.
